Managing Your Machines in the VTM Vending App

Your operational hub for monitoring and managing every vending machine in your fleet. From here you can check machine status, view sales, manage aisle stock, configure machine settings, and review machine details — all from your phone.

1. Open the Machines Tab

From the bottom navigation bar, tap the Machines icon. It will turn green when active.

The Machines tab displays all machines assigned to your account. Each machine card shows:

  • Machine name and machine number

  • Location address (if configured)

  • Connection status — Online (green badge) or Offline

  • Stock bar — a color-coded bar showing overall stock health:

    • 🟢 Green bar — all aisles in stock

    • 🟠 Orange segment — one or more aisles running low

    • 🔴 Red segment — one or more aisles disabled

  • 7-day sales indicator

At the top of the screen you can:

  • Use the Search bar to find a machine by name or number

  • Filter your list by All, Online, or Offline

  • Toggle between List view and Map view using the icons on the right


2. Open a Machine — Overview Tab

Tap any machine card to open its detail screen. The machine will open on the Overview tab by default.

  • 🔴 Red arrow — the Overview tab, currently active

  • 🟢 Green arrow — the machine's Online status badge

The Overview tab gives you a full snapshot of the machine:

  • Sales Summary — revenue for the last 7 days and last 30 days

  • Aisle Stock — a numbered grid showing the status of every aisle:

    • 🟢 Green — In stock

    • 🟠 Orange — Low stock

    • ⚫ Grey — Out of stock

    • 🔴 Red — Disabled

  • Last Transaction — the most recent completed sale on this machine

  • Location — the machine's address and location name, both editable via the ✏️ pencil icon

Machine Overview (Bottom)

Scrolling down on the Overview tab also reveals:

  • Machine Number and Group

  • Machine renewal date

  • Network state

  • Additional space for notes


3. Aisle Config Tab — Manage Your Aisles

Tap the Aisle Config tab from the top of any machine screen.

  • 🔴 Red arrow — the Aisle Config tab, currently active

  • 🟢 Green arrow — the toggle switch on an individual aisle card (enabled = green, disabled = grey)

At the top of the Aisle Config screen, a summary bar shows:

  • Total — total number of aisles on this machine

  • No Stock — aisles with zero stock remaining

  • Disabled — aisles currently turned off

  • Unassigned — aisles with no product assigned

Each aisle card displays:

  • Aisle number and toggle switch (enable/disable the aisle)

  • Product image and name

  • Retail price

  • Stock level bar and current stock count (e.g., 11 / 12)

  • and + buttons to manually adjust the stock count

  • Fill button to quickly set the stock back to maximum capacity


4. Aisle Detail View — Edit a Single Aisle

Tap any aisle card to open its full detail screen.

  • 🔴 Red arrow — the assigned product field, showing the product name where it can be modified.

  • 🟢 Green arrow — the Fill to max shortcut, which instantly restores stock to the maximum quantity

Inside the aisle detail screen you can configure:

  • Product (🔴 red arrow) — the product currently assigned to this aisle. Tap the × to remove it and assign a different product

  • Selling Price — the retail price displayed to customers on the machine screen

  • Current Stock — adjust the quantity using the − and + buttons, or tap Fill to max (🟢 green arrow) to restore to full

  • Max Stock — the maximum number of units this aisle can hold

  • Low Stock Alert — the threshold at which a low-stock notification will be triggered

  • Age Verification — Minimum Age — set the minimum required age for purchasing this product (enforced only when age verification is enabled on the machine)

Tap Save Changes when done to apply all updates to the aisle.


5. Disabling an Aisle

To disable an aisle, tap the toggle switch on the aisle card in the Aisle Config screen and switch it to the off position.

  • 🔴 Red arrow — pointing to the Disabled counter (showing 1) and the disabled aisle card (aisle 20), highlighted in red with a 🚫 icon and grey toggle

A disabled aisle will:

  • Show a 🚫 icon and a red outline on the card

  • Appear with a red stock bar

  • Be counted under Disabled in the summary bar at the top

  • No longer dispense product to customers until re-enabled

To re-enable the aisle, simply tap the toggle back to the on (green) position.


6. Settings Tab — Machine Configuration

Tap the Settings tab from the top of any machine screen to access all machine configuration options in one place.

All settings are displayed on a single scrollable page. As soon as you toggle any option, an "Unsaved changes" bar will appear at the bottom of the screen with Discard and Save buttons. You can make multiple changes across any section and apply them all with a single tap of Save at the end — there is no need to save after each individual change.

Restart Machine

  • Restart Machine — tap this button to remotely restart the machine's application. This is useful when the machine is unresponsive or needs a quick refresh without a full power cycle

Quick Settings

  • Machine Password — tap the 👁 eye icon on the right to view your machine's current admin password

  • Screen Saver Ad — toggle on to display an advertisement when the machine screen is idle

  • Top Banner Ad — toggle on to show a promotional banner at the top of the machine display

  • Electronic Lock — tap the Unlock button to send a remote unlock command to the machine's electronic door lock. This applies only to machines equipped with an electronic lock

Age Verification

  • Age Verification — toggle on to require customers to verify their age before completing a purchase on this machine

Shopping Cart

  • Add to Cart — toggle on to allow customers to add multiple products to a cart before checking out

  • Max Items in Cart — sets the maximum number of items a customer can add to their cart in a single session (e.g., 10)

Purchase Prompt

  • Prompt Before Purchase — toggle on to display a customizable confirmation message to customers before they complete a purchase. When enabled, the following fields become available:

    • Prompt title — the headline of the prompt shown to customers (e.g., "Age Verification 21+ Only")

    • Prompt content — the body message displayed in the prompt (e.g., "By selecting YES, you certify that you are at least 21 years old and of legal smoking age.")

    • Confirm button text — the label on the confirmation button (e.g., "Yes")

    • Cancel button text — the label on the cancel button (e.g., "No")

Display

  • Product Categories — toggle on to display product category filters on the machine screen, allowing customers to browse by category

Error Handling

  • Close Aisle on Failed Dispense — when enabled, an aisle will automatically be disabled if a dispense attempt fails, preventing repeated failed sales

  • Auto Lock on Serious Failure — when enabled, the machine screen will lock automatically if a critical hardware error is detected

Administrator

  • Machine Debugging — enable to activate diagnostic logging for troubleshooting purposes. Recommended to keep on unless advised otherwise by support

  • Coupons — toggle on to allow customers to apply coupon codes during checkout on this machine

Machine Mode

Tap the Machine Mode dropdown to select how the machine operates:

  • Advertising Only — the machine displays content and advertisements but does not process any sales transactions

  • Buy Mode (Default) — the standard operating mode where customers can browse products and complete purchases normally

  • Password Locked — the machine screen is locked and requires the admin password to access, preventing customer use

Hardware

  • Refund Sensor — toggle on to enable the machine's refund sensor, which automatically detects failed dispenses and triggers a refund to the customer

Payment

  • Accept Cash — toggle on to allow cash payments on this machine (requires a cash acceptor to be installed)

  • Accept Credit Cards — toggle on to allow card payments via the connected card reader


7. Saving Your Settings

After making any changes on the Settings tab, an "Unsaved changes" bar will appear at the bottom of the screen.

  • Tap Save to apply all changes at once

  • Tap Discard to cancel all unsaved changes and revert to the previous settings

If you tap the Back button before saving, a pop-up dialog will appear at the center of the screen to prevent accidental data loss.

The pop-up provides three options:

  • Discard — exits the Settings screen and discards all unsaved changes

  • Save — saves all changes and exits the Settings screen

  • Cancel — closes the pop-up and returns you to the Settings screen so you can continue making changes


⚠️ Important Notes

Subscription Expiry: Always keep an eye on the Subscription Renewal date in the Overview tab. If your subscription lapses, machine functionality and remote management access may be affected. Contact support at [email protected] / [email protected] to renew.

Disabled aisles: A disabled aisle will not dispense products to customers. Always review the Aisle Config summary bar after restocking to ensure no aisles remain unintentionally disabled.

Save your changes: Any changes made in Machine Configuration or Aisle Detail screens will not take effect until you tap the Save or Save Changes button.

🔑 Machine Password: Keep your machine password secure. Use the eye icon to verify it without changing it.
